{"id":1565,"date":"2019-05-15T10:02:27","date_gmt":"2019-05-15T17:02:27","guid":{"rendered":"https:\/\/dmkthinks.org\/blog\/?p=1565"},"modified":"2019-05-15T10:02:29","modified_gmt":"2019-05-15T17:02:29","slug":"optimize-your-email","status":"publish","type":"post","link":"https:\/\/dmkthinks.org\/blog\/optimize-your-email\/","title":{"rendered":"How to Optimize Your Inbox with a Catch-All"},"content":{"rendered":"\n<p>Optimizing your inbox is one of the best productivity wins and life hacks.<\/p>\n\n\n\n<p>For many business owners and entrepreneurs, the inbox is a logjam of requests, newsletters, high-priority fires, low-priority requests, and more distractions.<\/p>\n\n\n\n<p>If you optimize your inbox, you can <em>drastically<\/em> cut down on your time spent reacting each day \u2014 and more time proactively growing your business and doing thing you actually enjoy.<\/p>\n\n\n\n<p><strong>Recently, I found a new, more effective way to optimize my inbox. What\u2019s interesting is, I haven\u2019t seen this idea shared publicly \u2014 but I know of a 8-figure CEO who uses it privately.<\/strong><\/p>\n\n\n\n<p>The end result is a cleaner, more organized automatic sorting process.<\/p>\n\n\n\n<p><strong>I\u2019m calling the strategy the Catch-All Coordination.<\/strong><\/p>\n\n\n\n<!--more-->\n\n\n\n<p>This trick requires you to have your own domain. You don\u2019t need a website, just a domain to receive email. If you need a domain, the most inexpensive solution online is <a href=\"https:\/\/www.cloudflare.com\/products\/registrar\/\">Cloudfare<\/a>. <a rel=\"noreferrer noopener\" aria-label=\"Google Domains (opens in a new tab)\" href=\"https:\/\/domains.google.com\/\" target=\"_blank\">Google Domains<\/a> is also a good option.<\/p>\n\n\n\n<p>Here&#8217;s the five-step strategy:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Create one domain email address.<\/strong> During the signup process for your webhost, this might have been done for you. If not, and you need to create an email address, go to your CPanel webhost backend. Then select \u201cEmail Accounts\u201d and create your email address. I like to set my email address to 3 GB of space so I don\u2019t run out of storage.<br><\/li><li><strong>Set up your domain forwarding to your personal Gmail.<\/strong> I set up my dmkthinks.org email to forward to my personal Gmail. This keeps all my emails centralized in one place. To forward, log onto your web host CPanel. For example, if someone sends you an email at dkfjaldjflsdfj@yourdomain.com, it&#8217;ll still be forwarded. This is valuable because you can use whatever email address you want when signing up for apps online, meetups, newsletters, or anything else.<br><br>To set up the catch-all, click on \u201cDefault Address\u201d under the Email area in your CPanel.<br><br>This is where you can configure unrouted email to forward. I forward the unrouted email to my single domain email address set up in step #1, which then forwards to my personal Gmail. You could forward it directly to Gmail, but I like to send everything through my domain first for easier organization and keeping everything easy to remember and clean.<br><br>To get the forwarding working, select the \u201cForward to Email Address\u201d option, and put in your domain email address.<\/li><\/ul>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter\"><img loading=\"lazy\" decoding=\"async\" width=\"558\" height=\"378\" src=\"https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-catchallsetup.jpg\" alt=\"This is how you set up the catchall\" class=\"wp-image-1574\" srcset=\"https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-catchallsetup.jpg 558w, https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-catchallsetup-500x339.jpg 500w, https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-catchallsetup-230x156.jpg 230w, https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-catchallsetup-350x237.jpg 350w, https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-catchallsetup-480x325.jpg 480w\" sizes=\"auto, (max-width: 558px) 100vw, 558px\" \/><figcaption>Using the Default Address option in CPanel, you can set up the catch-all for unrouted email.<\/figcaption><\/figure><\/div>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Pick a reply email address based on your domain.<\/strong> Now that all your domain email is going to your one domain account, and then that gets forwarded into your personal Gmail, you can set up a reply-to in Gmail. This is useful if you want to reply to any email using your domain email address.<br><br>This can be done by going into your Gmail settings, then clicking \u201cAccounts and Import\u201d, and then \u201cAdd another email address\u201d.<br><br>I recommend you add the domain email address you configured in step #1 above.<br><\/li><li><strong>Create filters and labels in Gmail. <\/strong>This is my <em>favorite<\/em> part of the Catch-All Coordination! Using filters and labels in Gmail allows you to more easily organize your inbox. You can have emails skip the inbox, get mark as read, or otherwise stay out of your view.<br><br>To set up filters in Gmail, go to your Gmail settings and then click \u201cFilters and Blocked Addresses\u201d. In that view, you can add different filters depending on which emails you receive. Here are some that I use:<br><br>receipts at my domain = mark as receipts label<br>travel at my domain = mark as travel label<br>health at my domain = mark as health label and newsletter label<br><br>There\u2019s no limit to the amount of email addresses you can use, and the filters you can have. You can get get as granular as you want!<br><br>On top of the specific labels, I also mark anything being sent to *dmkthinks.org with the label dmkthinks.<\/li><\/ul>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter\"><img loading=\"lazy\" decoding=\"async\" width=\"540\" height=\"115\" src=\"https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-replytogmail.jpg\" alt=\"How to set up reply fields in Gmail\" class=\"wp-image-1575\" srcset=\"https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-replytogmail.jpg 540w, https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-replytogmail-500x106.jpg 500w, https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-replytogmail-230x49.jpg 230w, https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-replytogmail-350x75.jpg 350w, https:\/\/dmkthinks.org\/blog\/wp-content\/uploads\/2019\/05\/dmkthinks-blog-replytogmail-480x102.jpg 480w\" sizes=\"auto, (max-width: 540px) 100vw, 540px\" \/><figcaption>You can add your domain email account into Gmail to reply as well.<\/figcaption><\/figure><\/div>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Enter Catch-All email addresses on different sites. <\/strong>Another benefit to the Catch-All Coordination is you don\u2019t have to give out your \u201creal\u201d email address all the time. Similar to how some credit cards allow you to create temporary sub-credit cards for one-time use on certain sites, you can use catch-all email addresses to separate out your inbox.<br><br>For example, on Amazon you could use amazon@yourdomain.com. Or, for all receipts you could use receipts@yourdomain.com.
